Privacy notice
Change Collaboration LLC provides the Hidden Change Barriers Assessment. This notice describes the current native assessment route and separates what the site stores from what its interpretation provider processes.
Information we receive
The assessment collects the short change name, role, lifecycle stage, selected responses, written context, first name, email address, optional last name and organization, talk-through preference, consent, and limited referral or campaign information. Team engagements also use purchase, authorization, invitation, participant, and delivery records. Please do not enter confidential names, client names, employee names, credentials, regulated information, or details that identify another person.
How the information is separated
The service keeps identity and contact information, confidential assessment evidence, and commercial or operational information in separate record groups linked by opaque identifiers. Raw answers, written context, and individual interpretations are excluded from the sales-safe CRM record. For a team engagement, the buyer does not receive an individual's identity-linked answers, written comments, or individual readout. Team support uses only the privacy-permitted, non-identifying pattern evidence for that authorized engagement.
AI-assisted interpretation
The current readout uses the OpenAI API for AI-assisted interpretation. The model request receives assessment-response evidence, an opaque submission identifier, role, lifecycle stage, selected conditions, and written assessment context. It does not receive the respondent's name, email address, organization, attribution, payment, booking, invitation, or talk-through information. Because written context can itself contain identifying details, the assessment asks respondents not to name people or organizations.
The API request sets storage to false. OpenAI states that API data is not used to train its models by default. Training exclusion does not mean zero retention. Under OpenAI's current published default, API prompts and responses may be retained in abuse-monitoring logs for up to 30 days unless different approved data controls apply. Change Collaboration does not represent this route as zero-data-retention.
Change Collaboration storage and deletion
The site stores submitted assessment evidence and the generated readout so it can deliver the result, recover failed delivery, support an optional conversation, operate privacy-protected team services, maintain business records, resolve disputes, and meet legal obligations. A respondent may request access, correction, or deletion. Deletion requests apply to records under Change Collaboration's control and may be limited by legitimate business, contractual, security, or legal requirements. Provider abuse-monitoring records follow the provider's applicable retention controls.
Email and other service providers
Resend processes the destination address, message, PDF readout, and delivery metadata needed to send and troubleshoot the requested email. Hosting, storage, payment, and business-administration providers process only the information needed for their functions. Payment-card details are entered with Stripe and are not stored by the assessment site. Personal information is not sold.
Deidentified and aggregated learning
Change Collaboration may learn from deidentified or aggregated patterns only where permitted. Deidentification means direct identity and contact fields are removed from the learning record. It does not authorize publishing a quotation, a small-group pattern, or a distinctive combination that could reasonably identify a respondent. Individual narratives are not used for advertising measurement.
Security and changes
Reasonable technical and organizational safeguards are used, including server-only provider credentials, bounded inputs, access controls, privacy gates, and restricted operational records. No internet or storage system can guarantee absolute security. This notice will be updated before a material change to the AI provider, model-routing structure, data categories sent for interpretation, or retention representation is used in production.
